By submitting this registration form, you verify that you have read and agree to all terms & conditions below and to the use of your data in this form for the purposes of registering for the convention and other events as described below.
Rotary Multizone Institute Prague 2021 (also referred to as RMI21) takes place from 14th to 19th September 2021. It is a training & teaching conference that encompasses the following parts:
The GETS/GNTS Training is planned and organized to take place in person in Prague at the Prague Congress Centre from Tues evening (Opening & Dinner)14th September ending with dinner on Thursday 16th September.
The Partners Training is planned as follows: Tues 14th Sept eve: dinner with DGEs, DGNs; Partners Day Training all day Wednesday 15th Sept, dinner with DGEs, DGNs, Thursday 16th Sept – can choose a culture program at own cost, then will have dinner with DGEs, DGNs
The Council on Legislation (COL) Seminar will take place for District delegates on Thursday 16th September afternoon starting with lunch ending in a dinner at Corinthia Hotel.
The Major Donor Dinner event is planned for Thursday 16th Sept evening at 19.00
A seminar day (TRF, PI, Membership) is to take place on Friday 17th Sept, with the Institute Opening Dinner on Friday evening 17th Sept at the Prague Congress Centre.
The Institute is planned and organized for Saturday 18th Sept and Sunday 19th Sept ending with lunch at the Prague Congress Centre.
Gala Dinner on Saturday evening at the Zofin Palace. This is a separate cost to the Institute fee.
The Organizer reserves the right to make changes to the program.
The registered participant is obliged to follow the COVID – 19 anti-pandemic travel rules, such as being vaccinated or have, proof of presence of antibodies or have a negative PCR test. The registered participant must prove this to the Organizer by submitting the relevant medical certificate or notification from the locally relevant hygienic station, or he/she must fulfill any other necessary condition implied by the state authorities. RMI21 is organized by Rotary International District 2240 – Czech Republic and Slovak Republic, at behest of Rotary International Director Zones 17 &18 Virpi Honkala, Rotary International Director Zones 21 Katerina Kotsali-Papadimitriou and Rotary International Director Elect Zone 15 & 16 Urs Klemm in accordance with Policies of Rotary International (also referred to as RI) governing training and continuous education of its officers and members.
All sessions will be in English – there will be no interpretation or translation available. Except that the DGE & DGN Training: GETS & GNTS will be by Zone and in certain cases by language (German for Zones 15&16; Spanish/Portuguese for Zone 20C). Partner Training will be in English, though there will be an opportunity for certain language groups (German, Spanish/Portuguese) to sit together.
Registration to any of these events is a binding contract between the registered participant and Organizer. The registered participant can authorize another individual to attend an event in his/her stead by sending a name of the substitute in writing to the Organizer. Neither party will be liable for breach of its obligations under this contract if they are prevented from fulfilling them by a case of force majeure (such as a ban by the Government of the Czech Republic on organizing events for a certain number of people, a ban on accommodation or catering services, or other restrictions affecting the event, etc.). Generally, Force majeure means any unforeseeable exceptional situation or event beyond the control of the parties, which prevents any of them from fulfilling any of its obligations under the contract, which was not caused by error or negligence on their part and proves that it cannot be overcome even with all due diligence and care. A party who has breached its obligations may not, as a case of force majeure, invoke labor disputes, strikes, financial difficulties or concerns about future developments.
Notwithstanding the above-mentioned contracting parties, force majeure always means the case where either party will be forced to cancel or significantly limit or change due to measures against the spread of Covid-19 ordered by the Government of the Czech Republic or another body of the Czech Republic or the impossibility of the event caused by other epidemic / pandemic in the Czech Republic or measures against its spread (eg suspected infection in persons for whom the event is intended without any action being taken by the authorities of the Czech Republic).
If the Organizer is unable to organize the event due to force majeure, the Organizer may notify the registered participants of an alternative date for the event and/or that it will be held online. In such a case, other terms remain unchanged, and the registered participants are not entitled to cancel their registration.
If the Organizer is unable to organize and does not proceed under letter a. above, this contract will be terminated, and the registration fee (minus processing fees of the payment gate agent) will be returned to the registered participant within 30 days following the cancelation.
If the registered participant is unable to attend due to restriction by the authorities of the Czech Republic (such as a travel ban on the country of origin of the registered participant, etc.) and such a restriction was not in effect at the time when the registration was made, the Organizer, after receiving written request including documents that support the claim of the restriction, will return the registration fee (minus processing fees of the payment gate agent) to the registered participant.
Eighter party affected by a case of force majeure shall immediately notify the other party accordingly, indicating the nature of the event in question, the probable duration and the expected consequences. Both parties will work together on smooth resolution.

GDPR: The organizer respects the protection of personal data and is committed to processing personal data in a transparent manner and in accordance with applicable law. The Organizer, as the controller of personal data, processes your personal data to the extent that you have provided or will provide in this connection, in particular name and surname, title, address, e-mail address, telephone number, date of birth, gender, photographs, video, occupation / professional classification. In accordance with the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, hereinafter "GDPR") your personal data will be processed for the following purposes:
Performance of the contractual relationship – negotiations on the conclusion, amendment or performance of the Contract (in such a case, on the legal basis of Article 6 (1) (b) of the GDPR);
Fulfillment of legal obligations – obligations within the meaning of accounting and tax legislation. Fulfillment of legal obligations also includes the provision of data and information to law enforcement authorities or other public authorities in accordance with the relevant legislation (in this case, on legal basis of Article 6 (1) (c) of the GDPR);
Legitimate interest of the Organizer – protection of the rights and legally protected interests of the Organizer (in such a case, on the legal basis of Article 6 (1) (f) of the GDPR);
You hereby agree that your personal data being processed in accordance with the GDPR will be used by the Organizer also for the purposes of promoting the events and activities of the Organizer, including publication on websites, social networks, and the like (in such a case, on the legal basis of Article 6 (1) (a) of the GDPR). Your personal data will also be processed by the Organizer through its designated processors. You further acknowledge that your personal data will be passed on to the parent companies or affiliates of the Organizer and other entities in Switzerland, the Member States of the European Union, and the United States of America, but exclusively in accordance with the above purposes. Such transfer of personal data will be based on the implementation of the Binding Organizational Rules or standard contractual clauses approved by the European Commission, or other appropriate guarantees. More information, or specific documents can be obtained on request to the Organizer. You are aware of your rights to withdraw your consent (even without reason) to access your personal data, as well as to rectification, erasure, restriction of processing of your personal data and the right to object, as well as the right to your personal data. In case of doubt about the fulfilment of your rights by the Organizer, you can contact the Organizer with a request for an explanation of removal of the defect to the email address: firstname.lastname@example.org . You can also directly contact the Office for Personal Data Protection with your complaint. The Organizer is entitled to keep your personal data for the time necessary or suitable for fulfilling the above purposes of their processing, with the restrictions specified in the relevant legislation. You hereby acknowledge that the provision of personal data for the commercial communication is voluntary, but without the personal data provided, the Organizer would not be able to cooperate with you in planning, arranging and organizing events and managing personal data in connection with the Prague Institute, and sending commercial communications to you.
Usage of photos and images: I agree that the Organizer or his representative will take photo documentation and video recording of the event and use the created photos or audio / video recording of my person (hereinafter referred to as the material). I further agree with the use of captured photographs and audio / video materials, whether in tangible or digitized (intangible) form, as follows:
The Organizer is entitled to use photographs and audio / video material for its own needs and for the purposes of presenting its work on all social networks and websites set up by the Organizer and its partners.
Furthermore, the Organizer is entitled to provide a license authorization to use photographs and audio / video materials as its author's works to third parties, for editorial purposes (i.e., publication in periodicals).
I agree that photographs and audio / video materials may be altered, used as part of a collective work or only part of them may be used. I agree that the Organizer, these materials, possibly in conjunction with my identification data above, process for the purpose of archiving, presentation on social networks and websites. I declare that I am aware that I can revoke this consent at any time by e-mail delivered to the organizer. I acknowledge that the revocation of the consent only works in the future and therefore does not affect the legality of the previous processing based on this consent (before its revocation).
